Short description
A ready to brand job description for the Duty Manager, covering 28 specific responsibilities across nine areas of accountability, together with qualifications, measurable performance indicators, and a three party signature block. Written for the senior leader on shift who carries the hotel when the department heads are off duty, with decision authority, emergency leadership and cash oversight written in.
Purpose
A hotel operates twenty four hours a day while its management does not. Between the evening and the morning meeting, somebody has to welcome the VIP, resolve the complaint, approve the rate override, decide what to do about the overbooking, and take charge if there is a fire. That person is the Duty Manager, and in most properties the extent of their authority has never been written down.
This template defines the position properly:
- For authority, it states what the Duty Manager may decide alone, including room decisions within policy, rate overrides, discounts and complimentary items within their authority level.
- For emergencies, it names the role as lead contact during fire, medical and other emergencies, which removes any ambiguity at the moment ambiguity is most dangerous.
- For continuity, it writes the logbook, handover and incident reporting into the role, so what happened overnight is known in the morning.
- For revenue, it places upselling and upgrades at check in alongside overbooking, no show and walk in management, which is where a shift level decision affects the day’s result.
- For control, it assigns folio, deposit, credit limit, high balance and cashier review to the shift rather than only to the department head.
It suits hotels and resorts formalising their on shift leadership, properties where overnight decisions are made inconsistently, operations without a defined emergency lead outside office hours, and HR departments building the Front Office library beneath the department head.
What is inside the document

1. Branded header

This introduces a fifth job level to the library, alongside Managerial, Supervisory, Team Leader and Staff. It also aligns the library with the job level structure already set out in your Effective Recruitment Procedure SOP, which lists Daily Worker, Rank and File, Supervisor, Assistant Manager, Manager and Executive Committee.
2. Position identification table

3. Job overview
A single paragraph in second person, describing the Duty Manager as the senior Front Office leader on shift and the main point of contact for guests and staff when the Front Office Manager is not on duty. It names the areas overseen, the escalation and VIP handling responsibility, and closes on calm presence, quick decision making and genuine care, which is an accurate account of what the job actually requires at two in the morning.
4. Key responsibilities
Twenty eight responsibilities organised into nine titled groups:
- Shift Operations and Lobby Management, four points covering supervision of Front Office, lobby and guest services during the shift, checking arrivals, departures, VIPs, groups and room status with rooms ready on time, enforcement of check in, check out and service SOPs, and coordination with Housekeeping, F&B, Engineering and Security to resolve guest issues quickly.
- Guest Experience and VIP Handling, three points covering personal welcome of VIP, long stay and repeat guests including room escort where appropriate, on the spot complaint and escalation handling with service recovery follow up, and recording guest preferences and feedback in the PMS and guest history profiles.
- Team Supervision and Training, four points covering leading the shift briefing, assigning tasks to FO Supervisors, receptionists, concierge and bell staff, coaching on service standards, upselling, PMS use and complaint handling, and monitoring grooming, attendance and conduct with input to appraisals.
- Room Revenue and Upselling, four points covering driving upselling and upgrades at check in to raise ADR, monitoring availability, overbooking, no shows and walk ins with room decisions made within policy, approving rate overrides, discounts and complimentary items within the authority level, and working with Reservations on room blocking for groups, VIPs and special requests.
- Cash Control and Systems, three points covering checking guest folios, deposits, credit limits and high balance reports during the shift, reviewing cashier balances and shift closing with discrepancies reported upward, and ensuring the PMS, key card system and equipment function correctly.
- Security, Safety and Emergency, three points covering guest registration, ID checks and guest data under local regulation and privacy rules, control of room keys, master keys, safe deposit boxes and lost and found, and acting as lead contact during fire, medical and other emergencies under the emergency plan.
- Communication and Handover, three points covering maintaining the Duty Manager logbook with incidents, complaints and pending matters, handover of open issues, VIP notes and room status to the next shift, and attendance at morning meetings.
- Reporting and MOD Duties, three points covering the daily Duty Manager report on occupancy, guest feedback and incidents, incident reports for accidents, damages, thefts and guest disputes, and Manager on Duty rotation with hotel walk around checks.
- Other Duties, a single properly worded catch all point.
Two inclusions deserve particular note. The high balance report check is a specific control that most job descriptions omit and that prevents a guest accumulating a folio nobody is watching. And master keys being named separately from room keys is correct, since master key control is a distinct security exposure with its own consequences.
5. Qualifications, performance indicators, and approval
- Qualifications and requirements, seven points covering education, a minimum of two years in Front Office including at least one as Front Office Supervisor or Guest Relations Officer, strong knowledge of operations, room revenue and guest service standards, a calm and confident temperament able to make quick decisions in difficult situations, PMS familiarity with Opera named, excellent English, and availability for nights, weekends and public holidays.
- Key performance indicators, five measurable standards covering guest satisfaction and online review rating, complaint resolution time and service recovery results, upselling revenue and room upgrade results during the shift, folio accuracy, cashier variance and logbook completion, and team grooming, attendance and SOP compliance.
Including logbook completion as a measured indicator is a small decision with real operational value, since an incomplete logbook is the most common cause of an issue being lost between shifts.
- A scope limitation note, properly worded.
- A three column approval block with name and date fields for the Corporate General Manager, the Human Resource Manager, and the Duty Manager as acknowledging assignee, followed by a footer carrying the update date, revision number, and job code.
