Purpose

Reservations is the only department that touches revenue before the guest ever arrives. Every rate loaded incorrectly, every enquiry answered slowly, every parity breach across channels and every group block left uncontrolled costs money that no amount of excellent service on property can recover.

Most job descriptions treat reservations as an administrative function that takes bookings. This template treats it as what it actually is, namely a commercial department:

  1. For recruitment, it states the full commercial scope including rate loading, allotments, overbooking levels, parity monitoring and channel production, which filters out candidates who can process a booking but not manage inventory.
  2. For onboarding, it gives a new Reservation Manager a complete written scope across operations, client relationships, team, revenue, groups, systems, communication and reporting.
  3. For revenue, it writes conversion and upselling at the point of booking directly into the role, alongside pickup, forecast, no show and cancellation monitoring.
  4. For contract control, it names group blocks, rooming lists, cut off dates, attrition, contracted rate loading and deposit follow up with Finance.
  5. For data integrity, it assigns guest profile accuracy, booking source and market segment coding, which is what makes every downstream revenue report trustworthy.

It suits hotels and resorts formalising their reservations function, properties with rate parity or channel management problems, operations where group attrition goes unmanaged, and HR departments building a Sales and Marketing job description library.

  • Reservations Operations and Standards, four points covering daily operation across all booking channels, reservation SOPs with booking policies and response time standards for calls and emails, accurate and timely entry of bookings, amendments and cancellations in the PMS, and coordination with Sales, Front Office and Housekeeping on arrivals, VIPs, groups and special requests.
  • Guest and Client Experience, three points covering fast, friendly and professional replies with clear rate and room information, handling of booking issues, rate disputes and reservation related complaints with service recovery, and relationship building with travel agents, corporate clients and OTA market managers.
  • Team Leadership and Development, four points covering recruitment, training and onboarding with HR, rostering aligned to booking volume, training on sales techniques, rate structures, PMS and channel manager use with appraisal, and conduct standards with disciplinary action.
  • Revenue and Inventory Control, four points covering work with the Revenue Manager on rate loading, restrictions, allotments and overbooking levels, monitoring of inventory, rate parity and availability across website, OTAs and GDS, driving conversion and upselling of room types, packages and add ons at the point of booking, and monitoring pickup, forecasts, no shows and cancellations with corrective action.

Three inclusions reflect genuine commercial understanding. Market segment coding appears as an explicit accountability rather than an assumption, which matters because segment data is the foundation of every revenue analysis and is almost always corrupted at the point of booking. Group attrition is named alongside cut off dates, which is where group revenue is quietly lost. And rate parity monitoring across website, OTAs and GDS is written in as a monitoring duty rather than left to the Revenue Manager, which is correct since the reservations team sees the channels daily.

5. Qualifications, performance indicators, and approval

  • Qualifications and requirements, seven points covering education, a minimum of three years in Reservations, Sales or Front Office including at least one year as Reservation Supervisor, strong knowledge of inventory, rate structures, OTAs, GDS and channel managers, sales and problem solving skills, PMS familiarity with Opera named alongside booking engines and Excel, excellent English, and availability for weekends and public holidays.
  • Key performance indicators, five measurable standards covering room revenue, occupancy and ADR from reservations against budget, inquiry conversion rate and response time, booking accuracy, rate parity and system data quality, cancellation, no show and group attrition levels, and staff turnover, training hours and appraisal completion.

The second and third indicators are the strongest. Conversion rate paired with response time measures the commercial performance of the department rather than its volume, and system data quality as a measured standard is unusual and correct, since a reservations team that books accurately but codes poorly damages every report downstream.

  • A scope limitation note, properly worded.
  • A three column approval block with name and date fields for the Corporate General Manager, the Human Resource Manager, and the Reservation Manager as acknowledging assignee, followed by a footer carrying the update date, revision number, and job code.
