Purpose
The front desk agent delivers the first impression and the last one, and in between handles money, guest identity documents, room keys and the property management system. It is the most exposed staff level position in a hotel, and it is routinely defined as though it were only about smiling at arrivals.
This template defines all of it:
- For recruitment, it sets an accessible bar at six months while welcoming fresh graduates with the right attitude, which suits a position that is frequently an entry point into hospitality.
- For training, it becomes the syllabus, covering check in sequence, cashiering, PMS use, key control, upselling and handover as written standards rather than as things learned by watching.

- For revenue, it writes upselling, walk in rate selling and loyalty promotion into the role, so the commercial contribution of the desk is explicit rather than hoped for.

4. Key responsibilities
Twenty eight responsibilities organised into nine titled groups:
- Check in, Check out and Front Desk Standards, four points covering a warm welcome with check in and check out completed quickly under Front Office SOPs, verification of guest identity, reservation details, room type, rate and payment method, issue and control of room keys with explanation of facilities, services and policies, and keeping the desk area clean, organised and ready for service.
- Guest Service, three points covering polite and prompt handling of questions, calls and requests, on the spot complaint handling with serious issues escalated to the Supervisor or Duty Manager, and recording of guest preferences, special requests and VIP details in the PMS profile.
- Teamwork and Communication, four points covering coordination with Housekeeping on room status, early check ins and late check outs, working with Concierge, Bell Staff, Reservations and Engineering on guest requests, attendance at the shift briefing with arrivals, VIPs, groups and special instructions, and accurate and timely delivery of guest messages, mail and packages.
- Cashiering and Billing, four points covering correct posting of charges and handling of payments, deposits and refunds under cashiering procedures, checking folios before check out with charges explained clearly to guests, counting and balancing the cash float at shift end with variance reported, and handling foreign exchange and credit card transactions under hotel policy.
- Upselling and Room Sales, three points covering offering upgrades, packages and hotel services including spa, dining and tours at check in, handling walk in guests and selling available rooms at the right rate, and promoting current offers and the loyalty programme.
- Systems and Records, three points covering accurate PMS use for check in, check out, room moves and guest profiles, guest registration and data reporting in line with local regulations and privacy rules, and keeping registration cards, guest records and desk files complete and organised.
- Security and Safety, three points covering key control, safe deposit box and lost and found procedures, watching the lobby for safety concerns with suspicious activity reported to Security, and knowing and following fire, medical and emergency procedures.
- Shift Duties and Handover, three points covering checking arrivals, departures and room status at shift start, recording pending requests and issues in the desk logbook, and handing over open matters, guest notes and the cash float to the next shift.
- Other Duties, a single properly worded catch all point.
Three details deserve attention. Verifying rate and payment method at check in alongside identity and room type places the revenue check at the correct moment, and it supports the rate application discipline set out in your Revenue Management SOP. Explaining charges clearly to guests before check out is what prevents a folio dispute becoming a review. And including the cash float in the handover alongside guest notes is the specific that makes a variance traceable to a shift rather than to a day.
5. Qualifications, performance indicators, and approval
- Qualifications and requirements, seven points covering education, a minimum of six months as front desk agent or in guest service with fresh graduates welcomed on attitude, basic knowledge of front office procedures, cashiering and service standards, a friendly and well groomed manner with composure during busy periods, PMS familiarity with Opera named or the ability to learn quickly, good English, and availability for nights, weekends and public holidays.
Accepting candidates who can learn the PMS quickly rather than requiring prior system experience is a sensible widening for an entry level role, since the system is teachable and the temperament is not.
- Key performance indicators, five measurable standards covering guest satisfaction and positive guest comments by name, check in and check out time alongside registration accuracy, upselling revenue and room upgrade results, cashier balance accuracy and folio errors, and grooming, attendance, punctuality and SOP compliance.
Pairing speed with registration accuracy in a single indicator is the right construction, because measuring check in time alone produces fast, sloppy registrations, and measuring accuracy alone produces slow queues.
