Short description

Purpose
The concierge is the position guests remember by name, and the one that quietly determines how much of a guest’s spending stays near the hotel. A good concierge converts a vague question about dinner into a confirmed reservation, a transfer booking and a recommendation the guest repeats to friends. A poorly defined one hands over a map.
The role is also operationally broader than most properties acknowledge, covering luggage, mail, shuttle coordination and vendor management alongside the guest facing work. This template captures all of it:
- For recruitment, it states that the role requires local knowledge and a network, not only service skills, which is the genuine hiring criterion and is usually left implicit.
- For daily practice, it separates information from arrangement, so recommending and actually booking are both written as duties rather than the second being assumed.
- For operational control, it assigns luggage storage records, mail and courier handling, and shuttle coordination, which are the three concierge functions most likely to fail quietly.
- For commercial contribution, it includes promotion of hotel outlets, spa and packages alongside external bookings, and measures revenue from both.
- For continuity, it requires guest requests, bookings and preferences to be recorded in the PMS and concierge log rather than held in one person’s memory.
It suits hotels and resorts with a concierge desk or ambitions to open one, properties in destinations where guests rely heavily on local guidance, operations where luggage or mail handling has caused guest complaints, and HR departments building the Front Office library at specialist level.

Trusted local expert is the right framing, because it identifies what the role actually trades on, namely credibility, which is what makes a recommendation valuable rather than merely informative.
4. Key responsibilities
Twenty eight responsibilities organised into nine titled groups:
- Guest Assistance and Information, four points covering greeting guests at the desk with accurate information on facilities, services and the local area, recommending restaurants, attractions, shopping and events matched to guest interests and budget, providing directions, maps and travel advice including local customs, weather and safety, and keeping the desk, brochures and information materials tidy and updated.
- Reservations and Arrangements, three points covering booking restaurants, tours, tickets, spa treatments and special experiences, arranging airport transfers, car rentals, taxis and limousine services with details confirmed to guests, and handling special requests including flowers, gifts, celebrations and business services.
- Teamwork and Communication, four points covering coordination with Front Desk, Bell Staff, Guest Relations and F&B, sharing guest preferences and follow up actions, attendance at the shift briefing, and accurate and timely delivery of guest messages, mail and packages.
- Luggage, Mail and Transport, four points covering oversight of luggage handling at arrival and departure alongside Bell Staff, management of luggage storage with accurate records of all stored items, handling of incoming and outgoing mail, parcels and courier services, and coordination of the hotel shuttle and transport schedule with changes communicated to guests.
- Local Network and Partner Relations, three points covering building and maintaining relationships with restaurants, tour operators, transport providers and attractions, keeping an updated list of trusted vendors with prices, opening hours and contact details, and promoting hotel outlets, spa, packages and current offers.
- Systems and Records, three points covering accurate use of the PMS and concierge log for requests, bookings and preferences, handling guest data and payment details under local regulations and privacy rules, and keeping booking confirmations, vendor files and records organised.
- Security and Safety, three points covering lost and found, luggage storage and key control procedures, watching the lobby and entrance for safety concerns with suspicious activity reported to Security, and knowing fire, medical and emergency procedures including guiding guests during an emergency.
- Shift Duties and Handover, three points covering checking arrivals, departures, special requests and pending bookings at shift start, recording pending requests, bookings and follow ups in the logbook, and handing over open matters, guest notes and booking confirmations.
- Other Duties, a single properly worded catch all point.
Three details stand out. Matching recommendations to guest interests and budget, rather than simply recommending, sets the standard that distinguishes a concierge from a directory. Keeping accurate records of all stored luggage is the specific that prevents the single most damaging routine failure at a concierge desk. And maintaining a vendor list with prices and opening hours turns personal knowledge into a hotel asset that survives the individual.
5. Qualifications, performance indicators, and approval
- Qualifications and requirements, seven points covering education, a minimum of one year as Concierge, Guest Relation Officer or in a similar role, knowledge of front office operations alongside local attractions, restaurants and transport options, a friendly, well groomed and resourceful manner with composure under pressure, PMS familiarity or the ability to learn quickly, excellent English, and availability for nights, weekends and public holidays.
Resourceful is a well chosen word here, since the defining concierge skill is finding a way when the obvious answer is unavailable.
- Key performance indicators, five measurable standards covering guest satisfaction and positive guest comments by name, number of guest requests and bookings handled, request completion time and booking accuracy, commission and revenue from tours, transfers and hotel outlet bookings, and grooming, attendance, punctuality and SOP compliance.
- A scope limitation note, properly worded.
- A three column approval block with name and date fields for the Corporate General Manager, the Human Resource Manager, and the Concierge as acknowledging assignee, followed by a footer carrying the update date, revision number, and job code.
