Onboarding Checklist

Short description

A complete 29 item onboarding checklist covering four phases from before day one through to the thirty day review, with a named person in charge and completion date against every item, a structured day thirty review block, and a three party acknowledgement. Form coded, revision controlled, and built to connect the recruitment process to the probation evaluation that follows it.

Purpose

The first thirty days decide whether a hire works out. Most properties know this and still leave onboarding to whoever is on duty, which produces the familiar pattern of a new employee arriving to find no uniform in their size, no system access, no one expecting them, and a job description they will not see for another three weeks.

The cost is measurable. Your own Recruitment SOP sets a ninety day new hire turnover target of ten percent maximum, and the single largest driver of early turnover is a poor first month.

This checklist addresses that in five ways:

  1. It starts before the employee does. Seven items must be complete before day one, including uniform, locker, system access, payroll registration and a prepared first week roster.
  2. It assigns every item to a named party. The person in charge column carries HR, Department Head, Security, IT, Housekeeping, Training or Buddy against each line, which removes the assumption that someone else is handling it.
  3. It separates hotel orientation from department orientation. Day one covers the property, week one covers the job, and conflating the two is the most common onboarding failure.
  4. It schedules the check ins. A day seven check in and a day thirty review are both listed items rather than good intentions.
  5. It hands over cleanly to probation. The final item schedules the probation evaluation, so the thirty day review feeds into the formal assessment rather than ending in isolation.

It suits hotels formalising onboarding, properties with high early turnover, pre opening teams inducting large groups at once, HR departments preparing for audit, and any operation where a new employee’s first day currently depends on who remembers they are starting.

What is inside the document

A single structured form in four numbered sections.

1. Form header and instructions

A header carrying the hotel name, address, form title, form code HRD/FRM-REC/08, revision number and the responsible parties.

Three instructions follow. HR starts the checklist before the employee joins. HR and the Department Head tick each item and record the date. The checklist stays with HR until the end of the first thirty days and is then filed in the personnel file, with probation follow up handled by the Probation Evaluation Form. A second note explains the person in charge column and permits items that do not apply to a position to be marked as not applicable.

Keeping the checklist live with HR for thirty days rather than filing it on day one is the detail that makes the follow up items happen.

2. Section 1, New Employee Details

Ten fields covering employee name, employee ID, position, department, start date, employment status across PKWTT and PKWT, direct supervisor, assigned buddy, HR person in charge, and probation end date.

Naming the buddy and the HR contact in the header, rather than leaving both informal, gives the new employee two identified people to approach in their first week.

3. Section 2, The checklist

Twenty nine items across four lettered phases, each with a person in charge, a date field and a completion marker:

  • A. Before Day 1, seven items covering completion of pre employment documents with the checklist referenced by code, preparation of employee ID, name tag, locker and ID card, uniform and shoes ready in the correct size, creation of system access for email, PMS, POS or attendance where the position requires it, payroll data and BPJS registration started, the department and Security informed of the start date, and a buddy assigned with the first week roster prepared.
  • B. Day 1, Hotel Orientation, nine items covering the welcome, hotel tour and introduction to key departments, introduction to the General Manager and Department Heads, hotel history, vision, mission and service values, the Company Regulation and code of conduct, attendance, roster, leave, overtime and payroll rules, grooming standards, uniform care and locker rules, fire safety, emergency exits and assembly point, health and safety with first aid basics, and guest privacy, data protection and confidentiality.
  • C. Week 1, Department Orientation, seven items covering introduction to the team, buddy and department layout, the job description explained and signed with a copy filed with HR, department SOPs and service standards for the position, training on tools, equipment, chemicals and systems, shift handover, briefing and logbook procedures, agreement of key performance targets for the probation period, and department specific safety and hygiene rules.
  • D. First 30 Days, Follow Up, six items covering completion of on the job training with the buddy, a day seven check in on questions, concerns and support needed, attendance at mandatory trainings with service culture, fire drill and food safety given as examples, receipt of payroll, BPJS cards and ID card by the employee, the day thirty review meeting, and scheduling of the probation evaluation for permanent employees.

Three items deserve particular attention. Item 18 has the job description explained and signed in week one, which is where your job description library and this form connect directly, and it is the moment a new employee learns what they are actually accountable for. Item 22 agrees performance targets for the probation period at the start rather than discovering them at the end, which is what makes a probation evaluation fair. And item 27 confirms the employee has physically received their payroll, BPJS and ID cards, which is routinely assumed and frequently untrue.

4. Section 3, Day 30 Review, and Section 4, Signatures

A structured review block capturing employee feedback with prompting questions on how the first month is going and what support is still needed, supervisor feedback on progress against job standards, attitude, attendance and teamwork, training still needed, overall progress across three states of on track, needs extra support, or serious concern requiring HR follow up, and agreed actions.

The form closes with a three column signature block for the employee, the Department Head and the HR Manager, beneath a statement confirming that the employee has received and understood the orientation and the items ticked.

Asking for employee feedback before supervisor feedback is a deliberate ordering choice, and the right one, since a new employee who hears their assessment first will rarely say anything useful afterwards.

What you gain

  • New employees who arrive to find everything ready, which sets the tone for everything that follows.
  • No gaps between departments, through a named person in charge against every item.
  • Lower early turnover, which protects the ninety day retention target in your recruitment KPIs.
  • Compliance covered on day one, including fire safety, occupational health and safety, and data protection.
  • Fair probation assessment, through performance targets agreed at the start.
  • Problems caught early, through a day seven check in and a day thirty review with an escalation option.
  • A clean handover into the probation process.
  • Direct compatibility with the Effective Recruitment Procedure SOP, where this form supports Stage 13, and with forms 07 and 09 which it references by code.
