Short description

Purpose

A bar has two distinct operations running at once. Behind the counter, bartenders produce drinks to recipe. In front of it, guests are seated, welcomed, served, checked on and billed. Most properties supervise the first carefully and leave the second to whoever happens to be on the floor, which is why bar service quality so often varies while drink quality stays consistent.

The Bar Captain exists to lead that second operation, and this template defines it:

  1. For structure, it establishes a dedicated floor leader distinct from the bartending line, so lounge seating is not left unmanaged during busy service.
  2. For promotion decisions, it states what separates a Bar Captain from a senior bar waiter, namely table allocation, billing verification, coaching, and shift handover.
  3. For onboarding, it gives a newly promoted captain a complete written scope on day one.
  4. For revenue accuracy, it places bill verification before presentation, which is where most billing disputes at a bar are prevented.
  5. For governance, it carries a job code, revision number, update date, and three signatures including the employee’s own acknowledgement.

It suits hotels and resorts with a lounge or seated bar area, venues where bar service spans both counter and floor, properties formalising promotion paths within the bar team, and HR departments completing a beverage job description library.

What is inside the document

1. Branded header

2. Position identification table

Note that bartenders are deliberately absent from the supervises field. Bartenders report through the Bar Supervisor, while the Captain leads the floor service team. That separation is correct, and it prevents the authority confusion that arises when a floor leader is implied to direct the production line.

4. Key responsibilities

Twenty eight responsibilities organised into nine titled groups:

  • Bar Floor Operations and Service Standards, four points covering running the bar floor and lounge seating from opening setup to closing, enforcing the service sequence, bar SOPs and presentation standards among bar waiters, pre opening checks of table setup, menus, condiments, glassware and side station cleanliness, and coordinating drink orders and timing between the counter, the bar waiters and the kitchen for bar snacks.
  • Guest Experience, three points covering welcoming and seating guests with menu presentation and explanation of specials and signature cocktails, regular satisfaction checks with on the spot resolution of minor complaints, and escalation of serious complaints alongside recording guest preferences, favourite drinks and special occasions.
  • Team Leadership and Training, four points covering table and side duty allocation to bar waiters and barbacks, participation in the pre shift briefing with specials, promotions and VIP notes passed to the team, coaching new bar waiters on service steps, drinks menu, tray handling and POS, and grooming, uniform and behaviour standards with issues reported upward.
  • Billing and Equipment Care, four points covering verification of drink orders and bills in the POS before presentation with correct payment handling, careful handling of glassware, bar tools, trays and linen, requisition of bar floor supplies through the Bar Supervisor, and assistance with spot checks and monthly inventory.
  • Product Knowledge and Menu Support, three points covering full knowledge of the beverage menu across spirits, wine, beer, cocktails and mocktails with clear explanation to guests, recommendation of drinks and bar snack pairings, and sharing guest comments with the Bar Supervisor and bartenders.
  • Responsible Service and Hygiene, three points covering responsible alcohol service including age checks and alerting the Bar Supervisor about intoxicated guests, bar hygiene, food safety and cleaning standards under HACCP, and immediate reporting of damaged furniture, equipment or safety hazards.
  • Sales and Promotions, three points covering promotion of happy hours, theme nights, live music and seasonal specials, support for banquet and event beverage service, and driving upselling of premium spirits, signature cocktails and wine within the section.
  • Reporting and Handover, three points covering the bar logbook, handover of open bills, pending issues and VIP notes to the next shift captain, and participation in team meetings.
  • Other Duties, a single properly worded catch all point.

One detail shows careful thinking about authority levels. On responsible alcohol service, the Bar Captain performs age checks but alerts the Bar Supervisor about intoxicated guests rather than refusing service personally. Refusing a guest is a decision that should sit one level up, and writing it that way protects a team leader from being placed in a confrontation they do not have the standing to resolve.

The inclusion of tray handling in the coaching duties is the kind of specific that only comes from experience, since it is the single skill that most distinguishes a trained bar waiter from an untrained one.

5. Qualifications, performance indicators, and approval

  • Qualifications and requirements, seven points covering education, a minimum of one year as senior bar waiter, bartender or captain, knowledge of spirits, wine, beer, cocktails and bar service standards, the confidence to lead a small team during busy service, POS and billing familiarity, English language ability, and availability for nights, weekends and public holidays.
  • Key performance indicators, five measurable standards covering section bar sales and average check against target, guest satisfaction and positive guest comments for the bar, service sequence and SOP compliance during bar checks, order and billing accuracy with minimal voids and errors, and section breakage levels alongside team grooming standard. Every one is observable within a single section during a single shift.
  • A scope limitation note, properly worded.
  • A three column approval block with name and date fields for the Corporate General Manager, the Human Resource Manager, and the Bar Captain as acknowledging assignee, followed by a footer carrying the update date, revision number, and job code.
