Bell service is one of the most visible roles in a hotel and one of the most frequently filled by new entrants to the industry, which makes written standards essential. This document gives Human Resources a clear basis for recruitment, interviewing and placement at staff level, gives the Bell Captain and Front Office Manager a defined statement of what the role is accountable for, and gives the new employee an unambiguous description of their duties and performance measures from day one. It also supports structured onboarding, probation review, annual appraisal and promotion into the Bell Captain track, and provides documented evidence of role clarity for brand audits and quality inspections.

Key Responsibilities, grouped into nine clear areas

  1. Guest Arrival and Departure. Greeting arriving guests at the main entrance and opening car doors, unloading luggage and bringing it to the front desk or directly to the room, collecting luggage from rooms at check-out on request and loading vehicles safely, assisting with taxis and transport, and giving a warm farewell at departure.
  2. Luggage Handling and Storage. Careful handling of all guest luggage with a damage check before and after moving it, tagging and storing items in the luggage room with every item recorded in the luggage log, and releasing stored luggage only after verifying the claim tag or guest identity.
  3. Teamwork and Communication. Coordinating with Front Desk, Concierge and Housekeeping on arrivals, departures and room moves, informing the Bell Captain of VIP arrivals, group movements and special guest needs, attending the shift briefing, and reporting guest complaints, room issues and damaged luggage immediately.
  4. Room Introduction and Guest Errands. Escorting guests to their rooms and explaining room features, facilities and hotel services, delivering messages, newspapers, mail, packages and guest items on time, assisting room changes by moving luggage and belongings carefully, and running assigned guest errands.
  5. Lobby and Entrance Standards. Keeping the lobby, entrance, bell desk and luggage trolleys clean and in good condition, assisting guests with umbrellas, wheelchairs and other lobby equipment, and promoting hotel outlets, spa and current offers while escorting guests.
  6. Systems and Records. Recording all luggage movements, errands and deliveries in the bell desk logbook, keeping guest names, room numbers and personal details private at all times, and keeping luggage tags, storage records and errand cards complete and organised.
  7. Security and Safety. Watching the entrance and lobby for safety concerns and reporting suspicious people or items to Security, following lost and found and luggage storage procedures with a firm rule never to leave guest luggage unattended, and knowing the fire, medical and emergency procedures well enough to help guide guests during an incident.
  8. Shift Duties and Handover. Checking arrivals, departures, group movements and stored luggage at the start of each shift, recording pending deliveries, errands and follow-ups in the logbook, and handing over open matters, stored luggage records and guest notes to the next shift.
  9. Other Duties. A standard clause covering reasonable additional tasks assigned by the Bell Captain or Front Office Manager.

Qualifications and Requirements
Seven selection criteria written for an entry level hire and ready to be copied into a job advertisement: education level, a minimum of six months in bell service or guest service with fresh graduates of good attitude explicitly welcomed, basic knowledge of front office procedures, hotel facilities and the local area, a friendly and well-groomed presence with the physical fitness to lift and carry luggage, familiarity with PMS platforms such as Opera or VHP as an advantage, a good command of spoken English with additional languages as an advantage, and willingness to work shifts including nights, weekends and public holidays.

Key Performance Indicators
Five measurable indicators that make an entry level role reviewable rather than subjective: guest satisfaction score and positive guest comments by name, luggage delivery time at check-in and check-out, luggage handling accuracy against a zero lost or damaged standard, errand and delivery completion time, and grooming, attendance, punctuality and SOP compliance.
